Privacy Policy

How we collect, use, retain, and protect booking and guest information.

Last Updated:

Constellare collects personal information only when needed to manage reservations, communicate about your booking, improve our service, or meet legal obligations. We do not sell personal data. You may request access, correction, or deletion of your information where applicable by contacting us. This template should be reviewed and adapted to your final operational and legal requirements before publication.

What We Collect

We collect the details needed to hold and honour a reservation: your name, contact details, dates and party size, payment authorisation, and any preferences or access requirements you choose to share. Where you contact us by email, phone, or the website form, we keep that correspondence so the next person you speak to already has the context.

How We Use It

Booking information is used to prepare your room, take payment, and contact you about your stay. Preferences you give us — a firmer pillow, a quiet floor, a dietary requirement — are stored against your guest record so you never have to repeat them on a later visit. Aggregated, non-identifying data helps us understand which rooms and rates work well.

Marketing and Consent

We send marketing email only to guests who have opted in, and every message carries a one-click unsubscribe that takes effect immediately. Opting out of marketing never affects transactional messages about a booking you have already made. We do not sell, rent, or trade personal data to third parties under any circumstances.

Who We Share It With

Personal data is shared only with the processors needed to run the hotel: our booking engine, payment provider, and email platform, each under contract and each restricted to the purpose we specify. Card details are handled by our payment provider and are never stored on our own systems. We disclose information to authorities only where the law requires it.

How Long We Keep It

Reservation records are retained for seven years to meet tax and accounting obligations. Marketing consent records are held until you withdraw consent and for two years afterwards as evidence of the original permission. Footage from cameras in public areas of the hotel is overwritten after thirty-one days unless it is needed for an active incident.

Your Rights

You may request a copy of the information we hold, ask us to correct it, or ask us to delete it where no legal obligation requires us to keep it. You may also object to processing or ask us to restrict it. Write to the front desk or our data contact and we will respond within one month; if you are not satisfied, you may complain to your national data protection authority.
